ZigZag is looking for a Virtual Assistant (Bookkeeper-Cin7) to join our team! 
 

*You must have extensive experience in using CIN7 
* You must have experience using Xero as a Bookkeeper
*Preferably with basic digital marketing experience but not required 
*Fixed dayshift and weekends off + work from home 

*HMO on Day 1, and company devices are provided

 

Responsibilities:

  • Accounts & Reconciliation

    • Uploading invoices via EzzyBills to Cin7

    • Processing accounts email inbox and clearing into folders

    • Process credits and adjustments

    • Ensure Shopify payments sync correctly to Cin7 & Xero

    • Assist with finance prep:

      • Outstanding supplier invoices

      • Pending credits

      • Unmatched transactions

    • Maintain accuracy across inventory and accounting systems
       

  • Order Processing & Inventory Management (Priority Focus)

    • Process Shopify dropship orders through Cin7 Core daily

    • Prioritise same-day dispatch items

    • Liaise with suppliers for tracking, ETAs, and invoice follow-ups

    • Update Shopify order tags (e.g., Awaiting Tracking, ETA updates)

    • Ensure tracking numbers are uploaded promptly

    • Monitor fulfilment workflow and escalate delays
       

  • Administration & Customer Support

    • Monitor Podium and other social platforms for incoming customer enquiries

    • Respond to general enquiries or escalate technical questions

    • Maintain supplier ETD (estimated despatch date)

    • Assist in documenting SOPs and improving workflows

    • Processing and overseeing of returns end to end. Customer, shopify and CIN7 Core

    • Customer service and sales when required
       

  • Marketing & eCommerce Support Responsibilities

    • Assisting with the implementation of monthly marketing campaigns aligned with vehicle builds, product bundles, and seasonal promotions

    • Drafting, formatting, and scheduling blog articles and website content updates

    • Supporting basic on-site SEO updates and content optimisation

    • Preparing and scheduling eNewsletters and email marketing campaigns

    • Creating and scheduling daily social media content across multiple platforms

    • Preparing and scheduling website push notifications aligned with promotions and campaigns

    • Supporting paid advertising efforts through content preparation and campaign coordination (Google Ads and Meta Ads)

    • Monitoring engagement across digital channels and escalating customer enquiries where required

    • Assisting with ongoing content planning and continuous improvement of marketing processes
       

Requirements:

  • Essential:

    • Proven experience using Cin7 Core

    • Experience reconciling accounts in Xero

    • Purchase Order processing experience

    • Supplier communication & follow-up

    • High attention to detail

    • Strong written communication skills

    • Ability to manage multiple brands simultaneously

  • Preferably but not required

    • Experience drafting blog content

    • Basic SEO understanding

    • Experience with Meta Ads and Google Ads platforms

    • Canva experience

    • eCommerce marketing familiarity

    • Automotive or 4x4 industry knowledge
