The Accounts Receivables Officer is a junior Accounts Team role which directly reports to Team Lead/Accounting Manager. Accounts Receivables Officer is responsible for the company’s accounts receivables, collections, related bank reconciliation, reporting and other incidental functions.
Core Functions
- Accounts receivables: Take ownership of invoice sales orders and collect payments by due dates according to customer, trade and payment terms. Quantities and pricing must be accurate. Reconcile payments, and investigate and resolve discrepancies. Liaise between teams to issue return authorities and credit notes for faulty or returned inventory.
- Debtor and cash flow management: Manage overdue payments, action collections and enforcement to minimise sales outstanding, aged receivables and bad debt ratio. Initiate escalations to collect payments and resolve disputes. Monitor and analyse accounts receivable balances to identify trends and areas of improvement. Implement strategies to optimise cash flow and reduce the risk of bad debt.
- Stakeholder engagement and customer satisfaction: Work and communicate effectively with the Sales Team, other internal teams and clients to achieve collections by deadlines, while balancing customer satisfaction. Resolve customer enquiries and disputes while maintaining a positive brand impression. Be polite and fair, but firm in customer dealings.
- Reporting and analysis: Develop, generate and publish reports with analysis and insights to improve accounts receivable performance. Use data-driven insights to inform strategic decisions and enhance operational efficiency for business growth.
- Policies and controls: For each of the above, establish and enforce policies and internal controls to ensure the effectiveness and efficiency of the accounts receivable function. This includes ensuring the accuracy of accounts receivable transactions and reports.
- Team Collaboration and Support: Work collaboratively with team members to foster a positive and supportive work environment. Maintain clear and proactive communication with internal stakeholders to ensure tasks are completed efficiently and align with department objectives, contributing to the overall success and efficacy of the finance team.
Ongoing Functions
- Ad-hoc duties: Ad-hoc duties incidental to the core functions and as requested by management, including supporting the management team (and other teams) with data entry, reporting and analysis of data.
- Attention to detail: For each of the core assistant functions above, apply a skilful, efficient and accurate method to complete the volume of work assigned.
- Reporting: Assist with the preparation of financial reports, which may include Sales, Cash Flow and Expenditure Reports, Profit and Loss Statements & Trial Balances.
- Systems and technology: Contribute to the implementation, review and improvement to the use of systems and technology within Lioness to promote productivity and efficiency.
- Stakeholder relationships: Build and maintain strong relationships with both external and internal stakeholders to support efficient transactions and effective dispute resolution, i.e. dealing with payments, credits, refunds and disputes, and otherwise to promote teamwork.
- General office and teamwork: Work both independently and collaboratively between teams to apply a positive approach to problem solve business issues as they arise.
- Mentoring and higher duties: Coach, guide and mentor new and junior assistant accountants in their roles, to quickly build competencies. Assist the Accounting Manager to upskill and train junior staff. Act as a team leader during Manager absences, being the key point of contact relating to Lioness accounting team matters and the Director.
