ZigZag is looking for a Production Team Assistant to join our team!
About the role
The Production Team Assistant is an entry-level support role within the Production Team, based offshore in Manila. This role provides administrative and coordination support to the Bulk Production team, ensuring accurate data management, retailer documentation, reporting and administration, and timely communication across internal and external team and stakeholders.
The role plays a critical part in maintaining the operational efficiency of Lioness bulk production workflows by supporting client-facing administration, retailer online portals and product enrichment sheets, production tracking, reporting, and general team coordination.
This position is ideal for a highly organised, detail-oriented individual with strong administrative capabilities who enjoys working with systems, data, and process-driven tasks in a fast-paced fashion environment.
Key Responsibilities
Communication & Coordination Support
- Liaise with internal departments including Sales, Warehouse, Logistics, Design, and Production regarding assigned tasks.
- Follow up with suppliers, factories, and service providers on outstanding items.
- Escalate issues requiring senior team attention promptly.
- Communicate professionally and accurately with internal and external stakeholders.
Support smooth information flow across departments.
Reporting & Data Entry
- Maintain production schedules and status trackers.
- Assist preparation of weekly, monthly, and ad hoc reports.
- Update internal systems with production information and style data.
- Perform regular data checking and validation exercises.
- Ensure all information is maintained accurately and consistently.
Team Support
- Assist with meeting preparation, note taking, and action tracking.
- Support implementation of new workflows and process improvements.
- Assist neighbouring teams with administrative tasks where required.
- Participate in team meetings and provide updates on responsibility areas.
- Continuously identify opportunities to improve administrative efficiency.
General Responsibilities
- Follow Lioness processes, policies, and communication standards.
- Maintain confidentiality of company information.
- Demonstrate strong organisation, professionalism, and accountability.
- Proactively manage workload and deadlines.

Skills & Requirements
Essential
- 1–3 years experience in an administrative, data entry, customer support, or coordination role.
- Strong attention to detail and high level of accuracy.
- Excellent written and speaking English communication skills.
- Advanced proficiency in Google Sheets, Google Workspace, and Microsoft Office.
- Ability to manage repetitive tasks while maintaining accuracy.
- Strong organisational and time management skills.
- Ability to follow processes and work independently in a remote environment.
Desirable
- Experience within fashion, wholesale, production, logistics, or retail environments.
- Experience working with customer portals, retailer systems, or product enrichment platforms.
- Experience using ERP or PLM systems.
- Exposure to production, sourcing, or supply chain administration.
- Experience supporting offshore or international teams.
