ZigZag is looking for an Executive Assistant to join our team! 

*You must be willing to report onsite in Ortigas from Monday to Friday, 7am to 4pm Manila time 


RESPONSIBILITIES
  • Schedule and coordinate meetings, appointments, and travel arrangements
  • Prepare reports, presentations, and other documents as needed
  • Maintain and update confidential files and records
  • Work independently and manage time effectively
  • Handle sensitive information with discretion and confidentiality
  • Act as a liaison between the executive and other departments or external contacts, and handle communications on behalf of the executive as needed.
  • Assist with projects and tasks as needed, including research, data analysis, and report preparation. 
  • Coordinate projects and managing budgets as assigned
  • Handle special projects as assigned
  • Provide support during crisis management.
  • Contracts Process Owner: Oversee the end-to-end contract lifecycle, ensuring efficiency, compliance, and seamless collaboration across legal, finance, and client services teams. Optimize contract workflows, implement automation tools, and drive process improvements to enhance turnaround time, risk mitigation, and overall operational effectiveness.
  • Any other tasks that may be assigned


Requirements 
  • Proven experience as an Executive Assistant
  • Strong strategic and analytical skills to support the implementation of company strategies.
  • Experience with Agile methodologies and practices, or willingness to learn and practice agile.
  • Strong organizational skills to manage a complex schedule, prioritize tasks, and keep track of important deadlines and details.
  • Excellent communication skills to communicate effectively, both verbally and in writing, with internal and external contacts, including the executive's staff, other departments, and external partners.
  • Strong attention to detail to proofread and edit documents, catch errors, and ensure that all materials are accurate and ready for distribution.
  • Strong problem-solving skills to anticipate and resolve issues, find creative solutions to problems, and think critically to make sound decisions.
  • Strong time management skills to manage multiple tasks and projects simultaneously, meet tight deadlines and work under pressure.
  • Strong computer skills including proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook) and Google Suite.
  • Strong interpersonal skills to establish and maintain positive working relationships with a wide range of people, including executives, staff, and external partners.
  • Strong team player to work well as part of a team and to build positive working relationships with colleagues and other stakeholders.
  • Strong discretion and confidentiality to handle sensitive and confidential information in a professional and discreet manner
  • Strong judgment and decision-making skills to make sound and well-informed decisions, and to anticipate and respond to potential problems.
  • Strong adaptability and flexibility to adjust to changing circumstances and to work well in a fast-paced, dynamic environment.
